Project Coordinator at Young Men’s Christian Association Full Time

General over view of the position

The Job holder is responsible for delivering quality planning, ensuring efficient and effective implementation of the planned activities and engaged in timely monitoring and reporting.

Responsible rests up on the project coordination

• Develop project concept notes and project proposals;
• Prepare, implementation and monitoring and evaluation plans for the particular project/s.
• Implement the project activities as per the agreed standards and requirements
• Ensure effective and efficient use of resources and budget.
• Responsible for supervision and coordination, Monitoring and evaluation and reporting of project and its resources.
• Maintain properly and use all project’s documents and tools and information.
• Responsible for the constructive and smooth relationships partnership and networking with stakeholders across the projects

Duties/Tasks of the Projects coordinator

Planning

• Prepares the existing / and /or updated the existing projects that have already settled with project partners (donors), in such a manner the objectives, indicators, resources, and implementation plans are logically integrated.
•  Prepares project proposals in collaboration with program Director
•  Prepares the detail monthly/ quarterly, semi-annually and annual action and resource plans of the project and submits to the immediate supervisor
• Logically assesses potential project sites and targets and give written recommendation for expansion.
• Conduct/ facilitate trainings in line with the particular project and proposed activities.

Coordination and Supervision (M&E)

• Coordinates project activities and resources based on planned time tables, and allocated resources
• Prepare and submit working procedures and preparation to then departments under his/her supervision.
• Follows up the day to day activities of the projects.
• Collect/ gather and maintain day-to-day, weekly and monthly data based on the   project outcomes and activities, targets.
•  Prepares monthly/quarterly, semi-annual and annual reports of projects’ reports,
• Conduct quarterly and semi-annual evaluations of the projects.
• Collaborates with immediate supervisor, teams, and /or M&E officer on the periodical Monitoring, Evaluation and reporting activities.
• Coordinates and uses project resources effectively and efficiently
• Prepares monthly/quarterly activity budget plans and submits to program manager for approval
• Checks and sing on budget requisition of department and, submit it to program/ the immediate supervisor.

Team Building and Leadership

• Engage in cross-sectional collaboration and team efforts.,
• Supervises coordinates and mentors subordinates and team members of the project.
• Facilitate on-the- job training, team meetings, orientations, and experience sharing events to branch program staff members and relevant members in relation to the jobs and projects that they undertake.
• Assess gaps and needs in relation to project management and develop means/mechanisms for capacity building.

Report to: Program Director

Place of Job: Addis Ababa. The job incumbent’s shall be travelled to other regions  of YMCA branches as needed

Required knowledge and capabilities to the position

• Knowledge about youth development issue, child rights, and related conventional agreements knowledge and skills about result oriented project planning and, management and M&E.
• Ability to lead coordinate and motivate subordinates
• Commitment and ability to learn and to share knowledge with teams and member of the organization.
• Ability to create networking, collaboration with stakeholders and to work closely with young people.
• B.A. Degree or MA degree in sociology , psychology ,project management and  other related field.
• Minimum of 5 years relevant experience in project coordination.
